Deleting your TrekMail account is a deliberate, irreversible operation. For an eligible verified account, the dashboard requires your current password (and a 2FA code if enabled), then generally schedules deletion for 7 days out. After the grace period, deletion begins subject to the limited retention described below.

This guide covers the 7-day account flow, available recovery steps, and the categories that may be deleted or retained.

Before you delete

A few things to handle while you still have access to the dashboard:

  • Download anything you'll need afterwards. Export each mailbox you care about over IMAP into a desktop client like Thunderbird or Apple Mail. Once deletion runs, there's no way to retrieve a mailbox or its messages. See Exporting Domains and Mailboxes Data for the data side of this.
  • Re-point your DNS. If you're moving to a different email provider, update your domain's MX records before deletion finishes. Otherwise inbound email to your domain will bounce during the gap between TrekMail going down and your new MX going live.
  • Download invoices. Payment providers and TrekMail may retain billing records for legal, tax, fraud-prevention, and recordkeeping periods after account deletion, but you may no longer have dashboard access to retrieve them. Save the PDFs you need from Invoices and Billing History before you delete the account.
  • Tell anyone who depends on your address. If your customers, vendors, or contacts have your TrekMail addresses in their address books, set up forwarding now and notify them.
  • If you have White Label Lite, notify your end users and prepare a switch-over path before requesting deletion. Account deletion can cancel the add-on and begin the branded-host retirement flow. Do not rely on combined or sequential grace periods to keep the branded URL available.

If you're worried about losing files in your TrekMail Drive, download them too. The Drive folder structure isn't exportable in one click; you'd download files individually or in folder ZIPs from the Drive interface.

How to actually delete

  1. Click your name in the top-right corner of the dashboard and go to Account.
  2. Scroll to the bottom, the Danger Zone section in red.
  3. Review the deletion warning and its effect on the account.
  4. Click Delete account.
  5. A confirmation modal opens. Fill in:
    • Current password: required if your account has a password set.
    • Two-factor code: required if you have 2FA on your account. Six digits from your authenticator app.
  6. Click Delete account in the modal. A verified account is scheduled for deletion in seven days. An unverified account can be picked up for deletion without that grace period.

If you signed in only via Google, Microsoft, or another social provider and never set a password, the modal lets you proceed without a password, but offers a link to set one first if you want the extra friction.

What happens immediately

When your deletion request is accepted, the Service is designed to begin the following restrictions:

  • Active browser sessions are invalidated.
  • API tokens are revoked, so scripts or integrations using the TrekMail API should be treated as unavailable.
  • Message tokens associated with the account are revoked.
  • The Account → Danger Zone UI is no longer accessible because you're logged out.
  • For an eligible verified account, a 7-day grace-period counter starts. An account that is not eligible for that recovery window may proceed differently.

Until deletion starts, the account is marked for deletion. Do not use this period as an operational handover: export data and move DNS before scheduling deletion.

During the 7-day grace window

The grace period is intended to provide a limited opportunity to cancel an eligible deletion request. Some security or operational records may already change or become inaccessible during this period.

Recovery during grace: submit a support ticket from an accessible TrekMail account, identify the account scheduled for deletion, and ask whether the deletion can still be cancelled. Cancellation is available only while the request remains in its grace period. Previously revoked API or message credentials may need to be created again.

Do not wait until the end of the grace period. Once deletion processing begins, recovery is not available through the Services.

Subscriptions during grace: active subscriptions may remain active until the deletion process cancels them. If a renewal date occurs during the grace period, the ordinary charge may still be attempted. Except where required by law, deletion or cancellation does not create an automatic right to a refund; billing questions must be submitted through the Support Center.

After the recovery window: what happens

After the applicable grace period expires, deletion processing may begin. Depending on the account, provider, product, and legal retention requirement, the process generally includes:

  1. Subscriptions are scheduled for cancellation. Timing and final status can depend on the payment provider or marketplace. Review the provider's records and your billing status rather than assuming cancellation is instantaneous.
  2. Domains are removed from TrekMail's mail configuration. After removal, TrekMail no longer accepts inbound email for those domains. You remain responsible for changing your DNS.
  3. Mailboxes and active Customer Content are scheduled for deletion. This includes stored messages and mailbox folders, subject to backups and the limited retention described below.
  4. Affiliate and financial records may be preserved where reasonably required for commissions, tax, accounting, fraud prevention, disputes, or legal compliance.
  5. The active account record and related data are removed or de-identified except for information that TrekMail or its providers may retain for the purposes described below.

Deletion is a multi-system process and may not complete everywhere at the same time. Do not treat the end of the grace period as a guarantee that every provider copy or permitted retained record has already been erased.

Data retention and records

Account deletion removes the live account and its services. It is not a way to obtain a tailored record-retention agreement. Before you schedule deletion, download the data and invoices you need.

  • Payment records. TrekMail and its payment providers may retain invoices, transaction records, limited customer information, and other billing records for their respective legal, tax, fraud-prevention, dispute, security, and recordkeeping periods.
  • Affiliate snapshots (if applicable): the financial summary stays in our audit log so commissions paid before deletion remain traceable.
  • Internal operational logs: may contain account, network, security, or activity information and are retained according to the applicable operational schedule.
  • Routine backups: deleted data may remain temporarily in restricted disaster-recovery backups until the applicable backup cycle ages out. Backups are not ordinary customer-accessible storage and are not restored on individual request after deletion completes.

Common questions

Can I delete just one mailbox or just one domain instead of the whole account? Yes, see Deleting a Mailbox and the Domains page's "Remove" option. The "Delete account" button is for wiping the entire workspace.

I deleted my account but realised I need an invoice. Can I get it? Open a support ticket from an accessible TrekMail account and provide enough information to identify the transaction. Whether a copy can be provided depends on identity verification and the records still lawfully retained by TrekMail or the payment provider. A retained billing record does not mean the deleted account can be reactivated.

Will my recurring referral commissions stop? Account deletion may end access to the Affiliate Program and may prevent future commissions from becoming payable. Existing Pending or Available commissions are handled under the controlling Affiliate Program Policy, including its hold, termination, tax, payout, and unclaimed-balance rules.

What about my dashboard sessions on shared computers? The deletion flow is designed to invalidate active sessions. As a precaution, sign out manually and revoke devices or credentials before requesting deletion wherever possible.

Can a malicious actor with my password delete my account? They'd need:

  • Your current password.
  • A live 2FA code from your authenticator (if you have 2FA enabled).

If you have 2FA on, the deletion form also requires a current 2FA code. If you do not have 2FA, someone with your current dashboard password can schedule deletion. A verified account has a seven-day recovery window; an unverified account does not.

Does deletion erase my data from object storage? Drive files associated with the account are scheduled for deletion through the standard storage deletion process. Deleted objects may remain temporarily in restricted provider systems or backups until the applicable deletion or backup cycle completes.
