White Label Lite lets you present supported customer-facing pages and selected operational emails under your own identity. The precise experience depends on which hosts are active and which brand details you have saved, so use the active host details in Branding as the source of truth for the links you share.
Give each person the right link. A customer administrator or team member needs the active Dashboard host from Branding; a mailbox user needs the separate active Webmail host. Dashboard and mailbox users are not automatically the same account, so grant dashboard access only to people who need to manage the service.
For the operator's view of the same surfaces, meaning what is not branded and what stays TrekMail underneath, see What stays TrekMail-branded.
A customer administrator or team member signs in at the active Dashboard host shown on the domain's Branding tab. A mailbox user signs in at the separate active Webmail host. Share the matching address rather than a sample URL.
On an active branded host, the sign-in and related account pages use the saved brand name, logo, browser icon, and colors. If no logo has been uploaded, they use a simple initial instead of a TrekMail logo.
The underlying sign-in controls and standard validation messages remain product UI; their wording is not a custom-copy field. Dashboard-password recovery is different from mailbox-password recovery, as explained below.
Dashboard
Clients and colleagues can sign in to the active dashboard host when you have invited them and assigned the appropriate role. Their role and domain access determine what they can see or change. See Give your clients and staff their own login.
The signed-in dashboard uses the saved visual identity across its main surfaces:
- Navigation: your saved name and logo or initial.
- Browser and device identity: your configured browser icon and name.
- Main actions: your saved primary color.
- Focus and supporting highlights: your saved accent color where the interface uses it.
White Label Lite changes the presentation, not the role permissions or core dashboard functions such as mailboxes, domains, and settings.
Transactional emails
The customer-facing mailbox flows that support tenant branding include mailbox setup invitations, the post-setup confirmation, and mailbox password-recovery messages. When a branded profile is used, those messages carry your saved brand name, logo or initial, primary color, and accent color.
Brand name: the visible identity used by the branded email layout.
Body: a branded header with your logo or initial and primary color, with links using your accent color.
Reply behavior: The Support email adds Reply-To on branded mailbox messages; leaving it empty means no Reply-To header is added.
- Test the reply path from a received message. The address shown by a mail client can differ from the sender address.
From address: defaults to noreply@trekmail.net. If you set Transactional sender on the domain's Branding tab (any address on a domain you've already verified on TrekMail), customers see that address instead. SMTP-level deliverability headers (Received, etc.) still show TrekMail mail-server hostnames in the raw source, but those aren't customer-visible during normal use.
The transactional sender shown in Branding is the value to communicate to customers. If it is blank, the configured platform sender is used. Do not promise that a Reply-To or sender setting covers billing, account-owner, or every other platform message.
Mailbox setup invites
A mailbox setup invitation asks a person to choose their password for the mailbox address you created. When sent from an active branded dashboard host, it uses the saved brand identity and keeps that host in its one-time setup link. The message shows its own expiry time, so recipients should use the newest invitation rather than an old copied link.
For a larger rollout, activate both published hosts first, send one invitation to a test recipient outside your team, and check the From line, Reply-To address, link host, and setup instructions. Then send the batch and use the invitation status to follow up or resend where needed.
Webmail
Mailbox users sign in at the active Webmail host shown on the domain's Branding tab, not at the dashboard host. Its sign-in page uses the brand name, logo or initial, and configured colors. The regular webmail functions, such as composing, replying, folders, search, contacts, and calendar, continue to work for the underlying mailbox.
Messages sent through webmail use the mailbox address. White Label Lite does not change the mailbox identity or hide normal technical delivery headers from a recipient who chooses to inspect a message's raw source.
Password resets
Mailbox-password recovery is separate from a dashboard user's password reset. Email recovery works only when the mailbox is active, allows direct sign-in, and already has a recovery email saved. The on-screen confirmation is deliberately generic, so it is not proof that a mailbox or recovery address exists:
- Start with Forgot password in webmail or open the mailbox password page.
- Enter the mailbox address and request a recovery email.
- If recovery is available, use the newest recovery message. Its link expires after 60 minutes.
- Set the new password, then return to the active Webmail host.
If the mailbox is suspended, shared, or does not allow direct sign-in, an administrator must help instead. Dashboard-password messages are account-owner correspondence, not a customer mailbox flow, so do not promise that they will use your transactional sender or support Reply-To.
Mailbox notifications
Do not promise customers that every notification will be white-labeled. Calendar reminders, storage notices, and delivery-related messages depend on the feature and its settings. If one matters to your customer journey, trigger it in a test mailbox before describing it in your own help center.
- Storage-related warnings
- Delivery-related notices
- Calendar reminders when that feature is configured
Confirm the displayed identity, sender, and links from the actual message rather than assuming they follow the mailbox invitation.
Account-level emails
Some emails go to you, the account owner, not your customers:
- Renewal reminders for your subscription
- Failed payment notices
- Plan-change confirmations
- Storage warnings for the overall account
These are account-owner correspondence and may remain TrekMail-branded because they concern your direct relationship with TrekMail, rather than your relationship with a customer. Keep the account-owner contact address private from customers where appropriate.
Common questions your customers may ask
"What's TrekMail?" Answer this in a way that matches your customer contract and support policy. If you describe infrastructure, be accurate and do not make claims about branding, compliance, or support ownership that your service does not provide.
"Why did a message come from a TrekMail address?" First check whether it is account-owner or billing correspondence, or a mailbox message sent before a transactional sender was configured. Then check the recipient, message type, and settings on the active brand profile. Do not ask a customer to forward a password, reset link, or full authentication headers to support.
"Can I use my own email client (Outlook, Apple Mail) with this?" Yes, with the mailbox address and password. White Label Lite does not change mailbox credentials. Give the customer the current IMAP, POP, and SMTP details from the dashboard; if you have configured branded mail-app hostnames, give those values instead. See Your name in your customers' mail apps. Test the client setup you recommend instead of promising automatic discovery.
"Is this product secure?" White Label Lite changes presentation and selected customer-facing email identity. It does not replace the platform's sign-in, password, or mail-transport controls. Describe security only with claims your own policy and the current platform security documentation support; do not promise a certification or feature that you have not verified.
Common scenarios for resellers
"How do I onboard a new customer?" Confirm the relevant dashboard and webmail hosts are Active, create the mailbox or customer administrator with the right role, and send the appropriate invitation from the branded dashboard. Ask the customer to save the dashboard or webmail address that matches their role. After setup, send a short welcome note with your support address and the steps for password help.
"How do I provide support?" Set a monitored Reply-to / Support email and test an invitation and password-recovery message. Keep a simple internal split: your customer support handles the customer relationship, while the TrekMail account owner handles account billing and platform administration. When someone reports a problem, ask for the mailbox address, approximate send time, and a screenshot with private links obscured.
"How do I bill my customers?" White Label Lite is billed to the TrekMail account owner. Your own price, invoice, and customer contract are separate. Check the current amount and renewal terms in Plans or Billing instead of quoting a fixed platform price in customer materials.
"What happens to my customers if I cancel White Label Lite?" The branded hosts stop serving after the paid or trial period and its grace window. The mailbox service itself is separate, but customers will need new sign-in instructions. Before you cancel, give dashboard users and mailbox users the current replacement links, keep any needed mail-app settings documented, and plan support coverage for the change. Before the first invitation, confirm that each published Dashboard and Webmail host shows Active; open both in a private browser window to check the name, logo, browser icon, and colors; then send a mailbox invitation and password-recovery email to an address outside your organization. Check the From line, Reply-To address, link host, and expiry information in the actual messages. Make sure your support inbox is monitored and your welcome message distinguishes dashboard access from webmail access.
