Connect TrekMail to Any Email App

Use the guided Apps & devices screen to connect a TrekMail mailbox to Gmail, Outlook, Apple Mail, Thunderbird, or another IMAP app.

You do not have to leave Gmail, Outlook, Apple Mail, Thunderbird, or another familiar email app to use your TrekMail address. Apps & devices gives you the right instructions and secure server settings for the mailbox you selected.

Before you connect

You need two things:

  • The full mailbox address, such as hello@example.com.
  • The password for that mailbox. This is not necessarily the same as your TrekMail dashboard password.

Both receiving and sending must be ready. Some email apps test the incoming and outgoing servers together, so a mailbox that can receive but cannot yet send will fail their account check.

If TrekMail says that sending is not ready, finish the domain's SMTP setup first. You can configure your own SMTP provider or choose a plan with managed SMTP. Return to Apps & devices when the status shows that sending is ready; TrekMail will not present an incomplete configuration as usable.

Where to find Apps & devices

Use whichever route is most convenient:

  1. Dashboard: open Mailboxes, select the mailbox, then choose Apps & devices in its settings.
  2. Webmail: click the settings gear, then choose Apps & devices. It appears directly above Connected accounts.
  3. Setup wizard: after creating a mailbox, choose an app from the final step when sending is ready.

The two similarly named webmail sections do different jobs:

  • Apps & devices puts your TrekMail mailbox into another email app.
  • Connected accounts brings a Gmail, Outlook, iCloud, or other external mailbox into TrekMail webmail.

Choose your email app

Open Apps & devices, then choose the app you want to use:

  • Gmail app: for the Gmail mobile app on Android or iPhone. Add the mailbox as Other or Personal (IMAP), not as a Google account.
  • Outlook: for Outlook on desktop or mobile. If automatic discovery does not complete, choose IMAP or Advanced setup.
  • Apple Mail: download a secure Apple configuration profile that installs the incoming and outgoing account settings together.
  • Thunderbird: choose manual configuration, then use the supplied IMAP and SMTP values.
  • Other app: for Samsung Email, Spark, eM Client, and any app that supports standard IMAP and SMTP.

Each choice shows a short, app-specific process. For Gmail, Outlook, Thunderbird, and other apps, Copy server settings copies the values you need. You can also expand Show manual server settings to read them on screen.

Apple Mail profile

On the Apple device you want to connect, choose Apple Mail and download the configuration. Then:

  1. On a Mac, open System Settings → General → Device Management. On an iPhone or iPad, open Settings → General → VPN & Device Management.
  2. Select the downloaded TrekMail profile and approve Install.
  3. Enter the mailbox password when Apple Mail asks for it.

The downloaded file contains the mailbox address and secure server settings. It never contains your password. If your organization blocks configuration profiles, use the manual settings shown in the same Apps & devices screen instead.

Port 587 with STARTTLS is also available when a network or app cannot use SMTP port 465.

If you got your mailbox from a White Label provider who runs their service on TrekMail, the Apps & devices screen may show their names, imap.theirbrand.com and smtp.theirbrand.com, instead of the platform defaults. Those are the same servers and the same ports; use whatever that screen shows you.

If your domain uses a custom SMTP provider, you still enter the outgoing TrekMail or branded host shown on this screen. TrekMail securely applies the private provider route behind the scenes; never copy your provider's secret credentials into an end user's email app.

If the app cannot connect

Check these points before changing or deleting anything:

  1. Confirm that the username on both servers is the complete email address, including the domain.
  2. Confirm that you entered the mailbox password, not the dashboard account password.
  3. Check Apps & devices again and make sure it says that sending is ready.
  4. Confirm SSL/TLS is enabled and the incoming and outgoing ports match the displayed values.
  5. Remove only the failed TrekMail account or TrekMail configuration profile before retrying. Do not delete unrelated saved passwords, Keychain entries, or other email accounts.
