The Import page keeps your single imports and bulk batches in one history. Open an entry to see its current stage, progress, and a plain-language error when TrekMail needs action from you.

Do not close the old mailbox or cancel the old service until the import has finished and you have checked the destination folders.

Single-import statuses

What you may see What to do
Queued, checking, or planning TrekMail is waiting or preparing the import. Leave the source mailbox available.
Importing Messages are being copied. The progress indicator can change as folders are processed.
Paused Open the history entry and resume only when the underlying issue is resolved.
Completed Check the destination folders before treating the move as complete.
Completed with a partial result Some work finished, but not all of it. Read the displayed reason and use Continue when offered.
Failed or cancelled Read the message, correct the problem, then retry or start again only if appropriate.

An account can have one active single import at a time. A message may remain queued while TrekMail waits for capacity or a source provider limits connections.

Bulk-batch statuses

A bulk batch has its own result in addition to the status of each mailbox row.

Batch status Meaning
Queued or running TrekMail is working through accepted rows. Individual mailboxes can be at different stages.
Paused The batch needs attention before it can continue, commonly because destination storage is near its limit.
Completed All rows reached a final result. Review a sample of mailboxes.
Completed with errors Some rows need follow-up. Open them individually and use Continue incomplete after fixing the cause.
Cancelled The batch was stopped. Check completed and partly completed rows before creating another batch.

The batch page shows totals for completed, failed, cancelled, remaining, and partly completed rows. Use Download CSV if you need the current row-by-row record.

Fix common messages

Authentication failed

Confirm the full source mailbox email and the credential that provider supports for direct IMAP. Gmail, Yahoo, and iCloud may offer app passwords. Exchange Online requires modern OAuth for IMAP, and the current TrekMail importer does not perform Microsoft's OAuth flow; an app password does not bypass disabled Basic authentication. For a managed account, ask its administrator for an approved migration path.

Do not paste a password into a ticket or chat. Create a new app password or reset the source mailbox password if needed, then enter it only in the secure Import form.

Could not connect to the source server

Check the source provider's mail-client setup page and copy its IMAP hostname, port, and security setting again. For a known provider, reselect its card in TrekMail to restore the standard settings. For cPanel or another custom host, use the values shown by that host.

If a provider blocks external IMAP access or is temporarily limiting connections, wait and try again or ask that provider for help. Do not reduce the security setting merely to get past a certificate or connection error.

Certificate or TLS error

The server name and security option must match the source provider's instructions. Ask the source provider for its current secure IMAP settings. An expired or mismatched certificate is an issue at the source side, not a reason to disable encryption.

Some folders or messages were not copied

First check the folders selected, the bulk folder strategy, the optional date filter, and Skip duplicates. Then compare the source and destination folder lists. If TrekMail marks the import as partly completed, use Continue rather than launching a duplicate import. It preserves completed work where possible.

Destination storage needs attention

Bulk batches pause at 90% storage to lower the chance of a hard failure. Free storage or adjust the plan, then select Resume from the batch page. For a single import, reduce the selected folders or use a date filter if a full copy will not fit.

Retrying safely

Fix the cause before selecting a retry or continue action. Keep Skip duplicates selected unless you have a specific reason not to, especially after a partial import. Once the import reports completion, check the important folders manually before completing the DNS cutover or shutting down the old service.
