Most imports finish automatically. If yours stops or shows an error, here is how to diagnose and fix it.
Import statuses
| Status | Meaning |
|---|---|
| Queued | Waiting for an available worker slot. |
| Preparing | Connecting to source and building the folder plan. |
| Running | Actively copying emails. A progress bar shows real-time count. |
| Completed | All selected messages have been imported. |
| Failed | Something went wrong. Check the error message for details. |
All your import jobs appear in the Import history table at the bottom of the Import page.
Bulk import statuses
If you used Bulk Import, the batch has its own status on top of individual job statuses:
| Batch Status | Meaning |
|---|---|
| In Progress | Jobs are being processed. |
| Paused | Batch paused due to storage limit (90%+). Free up space or upgrade, then click Resume. |
| Completed | All jobs finished successfully. |
| Completed with errors | Some jobs finished, some failed. Click Retry Failed to re-queue the failures. |
| Cancelled | Batch was cancelled by the user. |
You will receive an email notification when the batch completes, when it is paused for storage, or if more than half of the jobs fail.
Error guide
"Authentication failed"
- Meaning: We could not log in to your source provider.
- Fix:
- Re-check your password. Note that Gmail, Yahoo, and iCloud require an App Password — your regular account password will not work.
- Gmail and Google Workspace specifically: Google no longer accepts standard passwords over IMAP at all — this is a platform-wide restriction, not a per-account setting, and applies even when the password is correct. You must use an App Password generated at myaccount.google.com/apppasswords. 2-Step Verification must be enabled on the account before App Passwords become available.
- Google Workspace admins migrating multiple users: each user needs their own App Password. See Bulk Migration from Google Workspace for the full per-user workflow.
- For cPanel hosts, try entering just the username without the domain (e.g.,
aliceinstead ofalice@domain.com), or the reverse.
"Connection timed out" / "Host unreachable"
- Meaning: We couldn't reach the source server.
- Fix:
- Verify the server address is correct (check your hosting panel's Connect Devices section).
- Confirm port 993 is open and not blocked by a firewall on the old host.
"Mailbox quota exceeded"
- Meaning: The destination TrekMail mailbox is out of storage.
- Fix:
- Upgrade your TrekMail plan for more storage.
- Use the date filter in Step 2 to import only recent emails first, freeing room for older ones later.
Can I re-run a failed import?
Yes. Fix the underlying issue (e.g., update credentials), then start a new import from the Import page. Duplicate detection is built in — if a message with the same Message-ID already exists in TrekMail, it is skipped automatically.
