TrekMail First-Time Setup Checklist

Welcome to TrekMail! When you sign up, a setup wizard guides you through the essentials. If you skipped it or want a reference, here's the full checklist.

Core Setup

1. Add your domain

Goal: Tell TrekMail which domain you want to use for email (like mycompany.com).

1. Go to the Domains page.
2. Click Add Domain.
3. Enter your domain name and confirm.

Note: You can add more domains later, but start with your primary one.

2. Connect your domain

Goal: Add a few settings at your domain provider so email flows through TrekMail.

1. After adding a domain, you'll see the DNS & Health tab.
2. Log in to where you bought your domain (e.g., GoDaddy, Namecheap, Cloudflare).
3. Copy the DNS records shown in TrekMail and add them to your DNS settings.
4. Return to TrekMail and run the DNS check when the records are published. DNS changes can take time to become visible, so use the result shown for the domain rather than repeatedly changing records.

We group the records by what they do:

• To receive email: MX record
• To identify authorized sending: SPF and DKIM records
• To publish your delivery policy and reporting choices: DMARC, MTA-STS, and TLS-RPT records where offered

Tip: If your domain uses Cloudflare DNS, Set up DNS automatically can prepare the changes after you connect a token and review the preview. You approve the DNS changes before TrekMail applies them. See Cloudflare Automatic DNS Setup.

3. Enable sending

Goal: Choose a plan so you can send emails from your address.

• Plans with managed sending: Check the domain's sending status in the dashboard after DNS is ready.
• Nano: You can receive email, but outbound sending needs a configured external SMTP provider. SMTP is set per domain: open Domains, choose the domain, then open SMTP. See Bring Your Own SMTP.

Trial availability and plan entitlements can change. The Plans page shows the choices currently available to your account.

Go to Plans to choose a plan or start a free trial.

4. Create your first email address

Goal: Create an address like hello@mycompany.com that you'll use to send and receive email.

1. Go to the Mailboxes page.
2. Click Create New Mailbox.
3. Choose a creation method:
   • Invite owner: Send a setup link so they set their own password.
   • Bulk invites: Send setup links to many people at once.
   • Create manually: Set the address and password yourself.
   • Bulk create: Upload a CSV to create many mailboxes at once.
4. Pick a name (e.g., admin, hello, support) and select your domain.
5. Set a strong password (or let the recipient choose theirs via invite).

5. Connect Outlook, Gmail or Apple Mail

Goal: Use your TrekMail address in your favorite email app.

1. Open the mailbox and choose Apps & devices.
2. Copy the exact IMAP and SMTP values shown for that mailbox. White Label and custom SMTP setups can use different hosts, so do not derive them from the email domain.
3. Open your email app and add a new account using those settings.

The guides below show the same fields in common mail apps. Return to Apps & devices whenever you need the current values for this mailbox.

6. Bring over your old emails

Goal: Copy your existing emails from Gmail, Outlook, or another provider into TrekMail.

1. Go to Migrations.
2. Start a New Migration.
3. Enter the details of your old provider and your TrekMail mailbox.
4. Run the migration and monitor progress.

7. Clean up your contact list

Goal: Check your contact list for invalid addresses before sending.

1. Go to the Email Verifier.
2. Upload or paste your contact list.
3. Run a verification. Invalid and risky addresses are flagged automatically.
4. Remove the bad addresses before sending.

Tip: Review the verifier's current credit and result information before running a list. A verification result helps you clean a list; it does not guarantee inbox placement.

8. Review your plan

Goal: Make sure your plan fits your needs.

1. Go to Plans.
2. Compare Nano, Starter, Pro, and Agency.
3. Upgrade if you need more domains, email addresses, storage, or sending capacity.

9. Protect your account

Goal: Turn on two-factor authentication so only you can log in.

1. Go to Account Settings > Security.
2. Enable Two-Factor Authentication.
3. Scan the QR code with an authenticator app (like Google Authenticator or Authy).
4. Save your backup codes in a safe place.

We recommend this for all account owners. Save the recovery codes before leaving the setup screen.

10. (Optional) Brand the dashboard under your own domain

Goal: If you run TrekMail for clients, they can see the dashboard and webmail under your own domain, with your logo, name, and colors.

1. Start from the White Label page during registration, from the Branding tab of a domain you already added, or from the White Label card near the bottom of the Plans page.
2. Every mail plan includes a 30-day White Label trial and preview. Preview and save your brand, then activate White Label when you are ready. Your preview carries into the live setup.
3. Turn on the branded URLs you want on the same Branding tab.
4. Copy the current CNAME record shown for each URL, then publish it at your DNS provider exactly as shown. Do not derive a hostname or target from an example.
