If your business pays for TrekMail, keep its legal name, country, and tax ID up to date. Your accountant can tell you which details are required for your invoices and tax filings.

These fields belong to the account owner. TrekMail stores the account's country, tax ID, and company name. When the account already has a Stripe customer, TrekMail also attempts to update that customer's name. The country and tax ID are not currently registered on the Stripe customer by this form.

Where to find the settings

  1. Log in to the TrekMail dashboard.
  2. Open your name or avatar and select Account.
  3. Find Company details and tax information.
  4. Fill in the fields described below.
  5. Click Save.

What each field does

Company name The legal entity name you use for billing, for example, “Acme Corp Ltd” or “Alice Baker Consulting.” If you have a Stripe customer, TrekMail sends this name to Stripe after saving.

Country Choose the country associated with the account's tax details. TrekMail stores its two-letter country code locally.

VAT / Tax ID Your business's tax registration number. What this is called depends on your country:

Enter the number exactly as issued by your tax authority, including a country prefix if your authority requires it. TrekMail stores the value as entered; it does not verify whether a tax number qualifies for a particular tax treatment. Check with your accountant when that matters.

Before you save

  • Use the legal company name, not a product name or a personal nickname.
  • Choose the country connected to that company’s tax registration.
  • Compare the tax ID with the source document before saving. A typo can make an invoice harder for your finance team to match later.
  • If the page shows a warning that the company name could not be synced to billing, keep the warning and contact support before relying on the next invoice.

When to update your details

Before your first paid invoice: Set the details before subscribing where possible. Past invoices are not automatically rewritten after an update.

After changing legal entity: If your company is restructured, renamed, or reregistered, update the details so future invoices reflect the new entity. Past invoices are not affected.

After a VAT registration change: If your VAT status changes, for example, your business crosses the registration threshold and receives a new number, update the field immediately.

Downloading and sharing invoices

After saving, open the next invoice in Billing and check what Stripe actually included. The company name may appear after a successful customer sync. Do not assume the locally stored country or tax ID will be printed on a Stripe invoice.

  1. Go to Billing in the TrekMail dashboard
  2. Scroll to the Invoices section
  3. Click Invoice next to any charge to download the PDF

Note: Details saved in TrekMail do not alter a previously issued invoice. If you need help with an earlier charge, contact support with the invoice or charge reference.

Frequently asked questions

Do I need to fill in company details on a personal account? No. If you pay for TrekMail personally rather than through a business, you can leave these fields empty. Invoices will show your account name and email instead.

Is my VAT number stored securely? TrekMail keeps the tax details with the account. The company name may also be sent to Stripe for an existing Stripe customer. Do not enter a tax ID unless it is appropriate for the account’s billing records.

Can I have different company details for different invoices? No. TrekMail stores one set of company details for the account. A payment provider can keep its own invoice information, so check each newly issued document rather than assuming it mirrors every local field.

Does saving a tax ID turn on VAT or sales-tax collection? No. Stripe can calculate automatic tax only when that feature and the required tax registrations and customer location details are configured. The tax and final total displayed in checkout are authoritative for that payment.
