TrekMail Webmail Calendar: Events, ICS and Phone Sync

TrekMail webmail includes a calendar alongside your inbox. Use it to keep track of meetings, deadlines, and events that come in by email.

Opening the Calendar

Click Calendar in the top navigation bar. The calendar opens in month view, showing the current month with dots indicating days that have events. Use the view controls to switch between month, week, and day when you need a closer look at a busy date.

Navigating the calendar

  • Click the left and right arrows to move through the displayed dates
  • Click Today to jump back to the current month
  • Click on any day to see the events scheduled for that date

Creating an event

  1. Click on any date in the month view to open a new event form
  2. Fill in the details:
    • Title, a short name for the event (required)
    • Date, pre-filled with the date you clicked
    • Start time and End time
    • All day, when the event does not have a specific time
    • Location, description, colour, and an optional browser reminder
  3. Click Save

The event appears on the calendar immediately with a coloured dot on that date.

All-day events: Turn on All day instead of leaving a timed event incomplete. It appears at the top of the day rather than in a specific time slot.

Editing an event

  1. Click the dot or event name on the calendar
  2. Click Edit (pencil icon) in the event detail popup
  3. Make your changes
  4. Click Save

Deleting an event

  1. Click the event on the calendar
  2. Click Delete in the event detail popup
  3. Confirm the deletion

Deleted events are removed immediately and cannot be recovered.

Responding to calendar invitations

When you receive an email that contains a calendar invitation (an .ics attachment or embedded meeting request), TrekMail webmail detects it automatically and shows three response buttons directly on the message:

  • Accept confirms you will attend.
  • Tentative indicates you might attend.
  • Decline declines the invitation.

Clicking a button does two things:

  1. Sends a reply to the invitation organiser so their calendar app records your response
  2. Records your answer on the invitation in TrekMail webmail so you can see how you responded later

The response buttons appear on the message itself, so you do not need to open the calendar tab. Your response is shown next to the buttons after you reply.

Note: The reply is sent from your default mailbox address. If you need another From address, choose it in the message composer or update the default under Settings → Sending addresses first.

Importing events (ICS files)

ICS is the standard format for calendar events. Google Calendar, Outlook, Apple Calendar, and most other calendar apps can export it. You can import ICS files into TrekMail webmail to bring events in from other sources.

Common reasons to import ICS files:

  • A meeting invitation arrived as an .ics file attachment
  • You want to bring events from Google Calendar or Outlook into your TrekMail calendar
  • A conference or event website provided a downloadable calendar file

To import an ICS file:

  1. Open the Calendar tab
  2. Click the import icon (↥) in the calendar toolbar, then Import calendar (.ics)
  3. Select the .ics file from your computer
  4. TrekMail shows you a preview of the events it found
  5. Click Import to confirm

Nothing is added to your calendar until you confirm. The preview tells you three things:

  • New events will be added.
  • Already in your calendar identifies the same event from an earlier import or a synced device. These are skipped, so importing the same file twice does not create duplicates.
  • Skipped items are tasks, notes, and cancelled events, which the calendar does not store.

Recurring events keep their repeat rule, all-day events stay all-day, and imported time zones are retained. Check an important meeting after import, especially when it crosses daylight-saving changes.

Limits: a file can be up to 5 MB and hold up to 1,000 events. If your export is larger, export a shorter date range from your other calendar and import it in parts.

Tip: When you receive an email with a calendar attachment (.ics), you do not need to import it. Open the message and use the Add to calendar button on the attachment.

Browser notifications

TrekMail can remind you about upcoming events with a browser notification. This is a small pop-up that can appear when webmail is not the active tab, as long as the browser is open.

To enable notifications:

  1. Open Settings → Profile in webmail.
  2. Turn on Desktop notifications.
  3. When your browser asks for permission, allow notifications for the TrekMail site.
  4. When creating or editing an event, choose a reminder time if you want one.

You can choose a reminder at the event start or 5, 10, 15, 30, or 60 minutes before it. Email reminders are not sent from this setting.

Note: Browser notifications only work while your browser is running. If your browser is closed or the tab is sleeping on mobile, notifications will not appear. For important reminders, consider also adding the event to your phone's native calendar.

To disable notifications:

  1. Open Settings → Profile.
  2. Turn off Desktop notifications.

You can also revoke permission in your browser settings at any time.

Using the calendar on mobile

The calendar works in mobile browsers and adapts to a touch-friendly layout. You can tap dates to view and create events just as you would on desktop.

Sync with phone, desktop, and other apps

The TrekMail calendar is a standard CalDAV calendar. You can connect it to Apple Calendar, the iPhone or iPad Calendar app, Android (via DAVx⁵), Thunderbird, and any other CalDAV-aware client. Events flow both ways: anything you create on your phone shows up in TrekMail webmail, and anything you create here shows up on your phone.

The same applies to contacts, which are exposed over CardDAV.

Use https://trekmail.net/dav/ as the standard server address, your full mailbox address as the username, and your mailbox password. If your White Label provider has explicitly supplied a verified branded DAV address, use that instead. Settings → Apps & devices currently lists mail-client settings; it does not publish DAV addresses, so do not invent a DAV hostname from your email domain.

Outlook is a special case. Microsoft does not support CalDAV natively. The Outlook guide covers the recommended third-party plugin and a couple of workarounds.

Frequently asked questions

Can I share my TrekMail calendar with other people? Your personal mailbox calendar is not shared across the whole account. When you open a shared mailbox, its calendar belongs to that shared mailbox and is available to its members according to that mailbox's permissions.

Will events I create on my phone show up in webmail? Yes. Once you have connected your phone or desktop client, changes flow both ways within the sync interval set by that client.

What happens to my calendar events if I delete my mailbox? Calendar events are tied to your TrekMail mailbox. Deleting the mailbox also removes all associated calendar data.

I imported the same file twice. Did I create duplicates? No. Import matches events by the unique ID your other calendar gave them, so anything already in your calendar is listed as "already added" in the preview and skipped.

My import says some items were skipped. What were they? Tasks, notes and cancelled events. The TrekMail calendar stores appointments only, so those parts of an export are counted and reported rather than added.
