Every charge on your TrekMail account leaves an invoice. The full history is on the Billing page — Stripe invoices for card payments, NOWPayments records for crypto, marketplace records (ClickBank, JVZoo) when applicable. This guide covers what each entry means, how to download the right document for your accounting, and what to do when an entry looks wrong.

Where to find your history

Open the Billing page and scroll past the payment-methods column. The Invoices list shows every charge in reverse chronological order.

Each row shows:

  • Invoice ID — the line at the top in bold. For Stripe charges this is the Stripe invoice number (formatted like IN-2026-0123). For crypto it's the NOWPayments payment ID.
  • Date — the day the invoice was generated, formatted like "Jan 15, 2026".
  • Amount — the amount paid, with the currency symbol.
  • Status — uppercase text. PAID in emerald green, anything else (pending, unpaid, open) in amber.
  • Action link on the right — what shows depends on the invoice status (see next section).

If you haven't been billed yet, you'll see: "No invoices yet. Your first invoice will appear here after your trial ends or when your first payment is processed."

What the action links mean

The right side of each invoice row has one of three links, never more than one:

  • Receipt (on paid Stripe invoices) — opens Stripe's official payment receipt page (receipts.stripe.com/...) in a new tab. This is the page your bank statement matches against. Use this for personal accounting and most expense reimbursement.
  • Pay (on unpaid Stripe invoices) — opens Stripe's hosted invoice page (invoice.stripe.com/i/...) where you can complete the charge right now with any saved payment method or a fresh card. Use this when an automatic renewal failed and you want to pay manually instead of waiting for Stripe's next retry.
  • Invoice (when no receipt is available yet) — opens the PDF invoice document directly.

Crypto payments (NOWPayments) show up as paid but don't have a downloadable PDF receipt — the crypto transaction itself is the receipt, traceable on-chain by its transaction hash. The Billing list does record the payment date, amount, and currency for your records, marked with the Crypto payment-rail label.

Stripe invoices vs crypto records

The two payment rails produce different artifacts:

The "Manual renewal required" tag on crypto entries is a deliberate reminder: NOWPayments doesn't auto-charge a wallet on renewal day. You start the next crypto payment manually before your current cycle ends. See Paying with Crypto for the full crypto flow.

What's on a Stripe invoice PDF

The PDF Stripe generates for each paid invoice contains:

  • TrekGuider Inc. as the seller (legal entity behind TrekMail).
  • Your billing email (the address on your account).
  • Your company name and tax ID if you've filled them in under Account → Tax info — these appear on the invoice instead of just your personal name. If you set them mid-cycle, they apply to future invoices, not retroactively to older ones.
  • A line-item breakdown: plan/add-on, period covered, unit price, quantity, total.
  • Any promo-code discount applied as a separate line.
  • VAT or sales tax computed by Stripe Automatic Tax (if your region requires it). The tax is added on top, not bundled into the displayed prices.
  • The exact payment timestamp and the last four digits of the charged card.

If you need a different format (e.g. your finance team requires a specific country invoice format), the Stripe PDF is what we can produce. Reformatting isn't currently supported — see Company Details and Tax Information for how to populate the fields that go on the PDF.

Filtering by date or amount

There's no built-in filter UI on the Invoices list — it shows everything in reverse-chronological order. For finance teams reconciling a specific period, the practical approach is:

  • Open each invoice from the list and check the date and amount inline.
  • For older history, contact support — we can pull the full Stripe history by date range and send a CSV.

We're aware this is a gap for businesses with many charges (resizes, add-on activations, monthly renewals over years). A date-range filter is on the backlog.

Billing status box

Above the invoice list, the Billing status card shows your current subscription state:

  • Active — emerald, normal state. Shows the next renewal date and the amount that'll be charged.
  • Trialing — amber. Shows the trial-ends date and what you'll be charged when it ends.
  • Past Due — amber. A failed renewal is in retry. See Fixing Failed Payments.
  • Canceled — red. The subscription was canceled but may still be running through the end of the paid period.
  • Trialing — will not renew — when you've canceled during trial; access continues until the trial ends, then drops.

The next-charge date is sourced from Stripe's current_period_end, so it's the authoritative number — not a local cache. When Stripe processes your renewal, the date advances within seconds of the webhook hitting.

Common questions

Why don't crypto payments have a PDF? NOWPayments works on a "pay this invoice in coin" model, not the recurring-billing model Stripe uses. The on-chain transaction is the legal record. Most accounting workflows accept the on-chain proof + the dashboard entry combined.

My invoice shows "PAID" but my card statement shows nothing. Where's the money? Stripe holds funds for a short window before settling to our bank, but the customer-side charge happens immediately. If your card statement is missing a charge that the dashboard shows as PAID, check pending charges (most banks list these separately) — they usually settle within 1-2 business days.

Can I see Pro-rated charges separately? Yes. When you upgrade a plan or resize a Drive Add-on mid-cycle, the prorated charge appears as a separate invoice with a small amount. The line-item description names it as "Proration".

Can I delete an invoice? No. Invoices are a permanent legal record on Stripe's side — once issued, they can't be removed. If an invoice was generated in error, contact support; we can issue a credit note (Stripe's mechanism for "this invoice doesn't apply") rather than delete the original.

How long are old invoices kept? Indefinitely. As long as your TrekMail account exists, the full invoice history is reachable on the Billing page. Stripe also keeps them indefinitely on its side. If you delete your TrekMail account, the invoices remain in Stripe but you won't have a dashboard to access them from — download what you need before deletion (see Deleting Your TrekMail Account).

I changed my company name — will old invoices update? No. Older invoices are immutable; they reflect what was on file at the time of issuance. Future invoices use the updated company name from your tax settings.

Can I forward invoices to a different email? Not from the dashboard. Stripe sends invoice notifications to your account's billing email (the address you signed up with). If you need invoices to land in accounts@yourcompany.com, either change the billing email under Managing Your Account Profile — keeping in mind that's also where password-reset emails go — or set up a forward rule in your inbox.
