What is email migration software, really?

Email migration software is an automation layer that signs into one mail server, reads message data over IMAP, then writes that data into another mailbox. It can speed up repetitive work and reduce operator error, but it cannot override server limits, protocol rules, or bad source data.

What email migration software cannot guarantee

No. Not in the literal sense.

You can reduce visible disruption by pre-staging mail, lowering MX TTL, and running a final delta pass after the DNS switch. But during propagation, some mail can still hit the old host while other senders hit the new one. That split window is normal. Software doesn’t control resolver caches.

100% data fidelity

Also no.

If the source contains malformed MIME, broken headers, missing bodies, or bizarre folder encodings from an old server, the destination may reject that message. Email migration software can report the failure. It can’t force the destination to accept garbage.

Everything gets migrated

Only if “everything” means email folders and messages exposed by IMAP.

Email migration software does not magically carry over:

  • Calendars
  • Contacts
  • Desktop signatures
  • Client-side rules
  • Autocomplete history
  • Mailbox permissions outside the mail copy process

If a vendor buries that distinction, keep your wallet shut.

Old auth methods will keep working

Not anymore. By 2025 and 2026, old password-only flows have been getting squeezed out across major providers. Delete mismatch during delta sync

Many tools are additive by design. That’s safer than deleting aggressively on the destination. But it means a user can delete a message on the old server after the initial pass and still see that same message on the new server after cutover. Users call it a bug. It’s usually policy.

DNS timing mistakes

If you leave MX TTL high and switch too fast, some senders will continue delivering to the old host long after your team thinks the move is finished. If you shut the old server down early, those messages bounce. If you leave it running but never do a final delta, they sit there and rot.

How to evaluate email migration software before you buy

The right way to judge email migration software is not by “zero downtime” copy. Judge it by logging, auth support, duplicate handling, folder mapping, and how cleanly it fits your cutover process.

  1. Does it support modern auth or app-password workflows for the sources you actually have?
  2. Can it map folders without manual cleanup on every mailbox?
  3. Does it skip duplicates safely on reruns?
  4. Can you export logs per mailbox and per failure?

  6. Does pricing punish you per user, or can you migrate in bulk without killing margin?

Mailbox size lies. MIME overhead, attachment encoding, and server-side compression distort size comparisons.

2. Check Sent before handoff

Send one test message from the new mailbox. Then inspect the Sent folder. If the test sits next to migrated sent history, your mapping is probably right. If the test lands in Sent Items and the old history is stranded in Sent Messages, fix that before the user logs in.

Lower TTL before the move. Switch MX. Wait out propagation. Then run one more delta pass to catch stragglers that still hit the old host.

If users are still deleting, moving, and filing mail on the old platform while you’re trying to close the migration, your results become harder to explain and harder to defend.
