Let your team members or clients set up their own mailbox. You pick the domain; they pick the local part and password.

This article covers single invites (one recipient at a time). To send invites to many people at once, see Bulk Mailbox Invites.

Who this is for

  • Account owners delegating mailbox creation to end users.
  • Agencies onboarding clients who should choose their own credentials.

What you get

  • No passwords in transit: The recipient creates their own password directly.
  • Recovery code: Issued automatically so users can self-reset later.
  • Full control: Resend, edit recipient, cancel, or copy the link at any time.

How it works

  1. You send an invite specifying the domain and recipient email.
  2. Recipient receives an email with a one-time setup link.
  3. They click the link, choose a local part (e.g., alice), and set a password.
  4. On completion, they receive a recovery code to save securely.
  5. The mailbox appears in your Mailboxes list as active.

Before you start

  • The domain must be Active (DNS verified).
  • Your plan must have available mailbox slots.

Step-by-step: Sending an invite

  1. Navigate to Mailboxes in the left sidebar.
  2. In the Create New Mailbox card, select Invite owner.
  3. Domain: Choose the domain the mailbox will belong to.
  4. Recipient email: Enter the email address where the setup link will be sent.
  5. Click Send invite.

The recipient will receive an email with instructions and a secure link.

Managing pending invites

Pending invites appear in the Mailboxes list with an amber "Setup pending" badge.

Resend an invite

If the recipient didn't receive the email or the link expired:

  1. Find the pending invite in your Mailboxes list.
  2. Click Resend.
  3. A fresh email is sent with a new link.

Edit the recipient

To change where the invite is sent:

  1. Click the recipient email badge on the pending invite.
  2. Select Edit recipient.
  3. Enter the new email address.
  4. Click Update & Resend.

Note: This invalidates the previous link and sends a new one.

Cancel an invite

To revoke an invite before it's used:

  1. Click the three-dot menu on the pending invite.
  2. Select Cancel invite.
  3. Confirm the cancellation.

The link will no longer work, and no mailbox will be created.

Copy the invite link

To share the link manually (e.g., via Slack or Teams):

  1. Click the three-dot menu on the pending invite.
  2. Select Copy link.
  3. Share the URL directly with the recipient.

Bulk actions on invites

To manage multiple invites at once:

  1. Select the checkboxes next to multiple pending invites.
  2. Use the Bulk Actions dropdown.
  3. Choose Resend invites or Cancel invites.
  4. Click Apply.

When the invite is completed

Once the recipient completes their setup:

  • The pending invite row is replaced by the active mailbox.
  • The mailbox is immediately usable for Webmail, IMAP, and SMTP.
  • The recipient has their recovery code for future password resets.

Limits (in plain terms)

  • Invite links expire after a set period (shown in the invite email).
  • Only one mailbox can be created per invite.
  • The recipient chooses only the local part (e.g., alice); the domain is fixed.
  • Pending invites count toward your plan's mailbox limit.
