This guide walks you through verifying a large email list from start to finish using the 3-step wizard (Prepare → Verify → Results). By the end, you'll have a clean, segmented list ready to use.

Before you start: Prepare your list

Get your emails into one of the supported formats:

  • CSV or XLSX — include a column with email addresses. We auto-detect the email column, so the header name doesn't matter (email, Email Address, contact, etc. all work).
  • TXT — one email per line, or any text with emails scattered throughout.
  • Paste — you can skip the file entirely and paste raw text directly in the wizard.

Tip: You don't need to clean your file first. Duplicates are handled automatically, and non-email data is ignored.

Step 1: Prepare

Go to Email Verifier in the sidebar. The wizard opens at Step 1 (Prepare).

Choose your verification mode

The mode selector is at the top of Step 1. Each mode card has a "See all checks" expandable link. Select your mode:

  • Quick (default) — 22 checks, 1 credit per email. Best for routine hygiene and re-verification.
  • Deep — all 25 checks including SMTP mailbox verification. 2 credits per email. Best for purchased lists, important campaigns, or leads from unknown sources.

Note: Deep mode takes longer for large lists because it connects to each domain's mail server to verify individual mailboxes. For a 50,000-email list, expect 15–30 minutes in Deep mode vs 5–15 minutes in Quick mode.

Upload or paste your emails

Choose your input method:

  • Upload — drag and drop your file onto the upload area, or click to browse.
  • Paste — switch to the paste tab and drop in any text. This works great for copying a column from a spreadsheet, pasting a raw email thread, or even dumping a webpage.

Our extraction engine scans your input and pulls out every email address it finds.

Review the "What will happen" summary

Before anything is charged, the "What will happen" summary box shows:

  • Total emails found in your input
  • Duplicates removed — we automatically deduplicate so you're not paying twice
  • Verification mode — Quick or Deep
  • Credit cost — the exact number of credits that will be deducted

If you've recently verified some of these addresses, we'll flag them with a duplicate detection notice. You can choose to re-verify or skip them.

Take a moment to confirm the count looks right, then click Start Verification.

Step 2: Verify

Once you confirm, the wizard advances to Step 2 — full-screen processing:

  • Credits are deducted upfront from your balance.
  • Quick checks progress bar — tracks the main verification pass (syntax, MX, SPF, pattern analysis, etc.)
  • SMTP probes progress bar (Deep mode only) — tracks the second pass where we connect to mail servers to verify mailboxes exist. This bar appears below the Quick checks bar so you can see both passes independently.
  • Mini stats — safe, valid, and invalid counts update in real time as batches complete.

You're free to navigate away or close the browser — the job runs in the background and results are stored for 15 days.

Tip: For Deep mode, the SMTP probe pass runs after Quick checks complete for each batch. The dual progress bars let you see exactly where each phase stands.

Step 3: Results

When verification completes, results appear automatically in Step 3. No need to click a separate button — the wizard advances on its own. The URL updates to ?job=X so refreshing the page preserves your selected job.

Download results

  1. Click the Download button.
  2. Choose your filter:
    • All — every email with its score and status
    • Safe only — just the high-confidence addresses (90+)
    • Safe + Risky — everything except Invalid (score 20+)
  3. A CSV file downloads with columns for email, score, and status.

Act on results

Now that you have segmented results, here's what to do with each group:

  • Safe — add to your active sending list with confidence.
  • Valid — generally fine to send to, but monitor bounce rates for this segment.
  • Risky — consider sending a re-engagement campaign or verifying these manually. If your bounce tolerance is low, leave them out.
  • Invalid — remove from all lists immediately. Sending to these addresses will hurt your reputation.

Starting another verification

Click New Verification in the wizard to return to Step 1 and start another job. Your previous jobs are always visible in the history table below the wizard.

Tips for getting the most out of bulk verification

  • Re-verify periodically. Email addresses go stale — people leave companies, domains expire, mailboxes fill up. Running your list through the verifier every few months keeps it healthy.
  • Results are stored for 15 days. You can come back and download results anytime within that window. After 15 days, you'll need to re-run the job.
  • Cancelled jobs get a partial refund. If you cancel a running job, credits for unprocessed emails are returned to your balance immediately.
  • Combine with the API for automation. If you verify lists regularly, the Email Verifier API lets you trigger jobs programmatically and poll for results.
