Proton Mail Alternative: When You're Paying for Encryption You Don't Use

Let's start where most comparisons won't. If end-to-end encryption is a requirement, a Proton Mail alternative is not what you need, and you should stop reading here. Proton's zero-access encryption is real, it's the entire design, and nothing in this article substitutes for it.

This is for the other reader — the one who chose Proton for reasons that felt right at the time and now finds the encryption is costing something without earning much back. That's a legitimate position, and it deserves an honest comparison rather than a takedown.

The Bridge, and What It Means Daily

Proton supports Outlook, Thunderbird and Apple Mail, and the way it does that is the thing to understand before comparing any Proton Mail alternative.

Desktop clients connect through Proton Mail Bridge, which their site describes as "a desktop application that runs in the background, encrypting and decrypting messages as they enter and leave your computer." Bridge is available only on a paid plan that includes Proton Mail, and it runs on macOS, Windows and Linux.

Three practical consequences follow.

There's no mobile IMAP. Bridge is desktop software, so phones and tablets use Proton's own apps. If your workflow depends on a particular mobile client, that isn't an option.

Every desktop needs the app installed and running. Mail stops arriving in Outlook when Bridge isn't running, which is a support conversation that recurs.

Anything that isn't a desktop is awkward. A shared workstation, a thin client, a device you don't administer — each needs Bridge, or it uses webmail.

None of this is a defect. Messages are encrypted so that Proton can't read them, and a server that can't read your mail can't hand plaintext to an IMAP client either. Bridge exists because the encryption is genuine. It's a consequence, and it's the consequence people underestimate before they commit.

What a Proton Mail Alternative Is Priced Against

Small businesses often run on the personal plans, so both matter. The personal tiers, billed yearly:

That last column is the one to read twice, and it's the same trap Zoho's free plan sets. Proton's free tier has no email client support at all — the comparison table lists IMAP/SMTP against Plus and Unlimited only. Free is also capped at 150 messages a day, one address, three folders, three labels and a single custom filter, with no custom domain.

Catch-all and automatic forwarding start at Plus too. And attachments are capped at 25 MB on every tier, including the $119.88-a-year one.

The business tiers are per user and structured by domain count: Mail Essentials at 15 GB and 3 custom domains, Workspace Standard at 1 TB and 15 domains, Workspace Premium at 3 TB and 20 domains. Their prices load dynamically rather than sitting in the page, so read those at the source.

The domain counts are the number to watch. Three domains on the entry business tier is fine for a company and immediately wrong for anyone administering client domains, which is the most common reason an agency starts pricing a Proton Mail alternative.

The Trade-Offs No Proton Mail Alternative Has to Make

These aren't criticisms so much as arithmetic, and they explain what a Proton Mail alternative is actually buying you.

Zero-access encryption means the server can't read message contents, and a server that can't read your mail can't do certain things with it.

Server-side search is constrained. Searching contents means decrypting somewhere, which is why Proton does encrypted search on the client after downloading an index. It works, and it behaves differently from a server-side index — particularly on a phone, or across a large archive.

Connecting to mailboxes hosted elsewhere doesn't fit the model. Reading a client's Google Workspace mailbox from your interface means the mail passes through in a readable form, which is precisely what the design forbids.

Encryption between systems is standard TLS anyway. Mail to a Gmail recipient is encrypted in transit and readable at the far end, because that's how SMTP works. End-to-end applies between Proton users, or with a password-protected message. For a team whose correspondence is mostly with outsiders, that's a smaller share of traffic than people assume.

If your threat model needs the guarantee, all three are worth paying. If it doesn't, you're carrying the constraints without collecting the benefit.

Where a Proton Mail Alternative Changes Shape

Four differences, stated with the trade-off attached, because a Proton Mail alternative that pretends there's no trade isn't worth reading.

Plain IMAP everywhere, no bridge. Outlook, Apple Mail, Thunderbird and any mobile client connect directly, including on our free plan — against Proton, where a client needs a paid plan and then Bridge running on top. Domains and mailboxes aren't per-seat. Plans cap counts by tier rather than charging per person, up to 1,000 domains at 1,000 mailboxes each, so role addresses and catch-all routing cost nothing extra, and server-side filters replace Proton's per-account filter cap.

When You Should Absolutely Stay With Proton

A Proton Mail alternative is the wrong move if any of these is true:

  • You handle material where a provider being unable to read it is the requirement — journalism, legal, medical, activism.
  • Swiss jurisdiction is part of why you chose it.
  • Your team already works in Proton's apps and nobody misses a desktop client.
  • You use Proton Drive, VPN and Calendar as a bundle.
  • You'd have to explain to a client or a regulator why you moved off end-to-end encryption.

That's a real set of requirements and no amount of convenience elsewhere outweighs it. Encryption you actually need is not a feature to trade for better search.

The case for moving is the inverse: you chose Proton on principle, your correspondence is ordinary business mail with outside parties, Bridge has become a recurring support burden, and you're administering more domains than the plan allows.

The Verdict, Whoever You Are

The opening still stands: if zero-access encryption is the requirement, stay. For everyone else, here's what the trade actually costs.

One person, one domain. Mail Plus is $47.88 a year for 15 GB, one custom domain and 10 addresses, and the free tier has no email client support at all — no IMAP, no SMTP, 150 messages a day, one address. If you're not using the encryption, that's a lot of constraint for ordinary correspondence, and a free plan elsewhere gives you IMAP and ten domains.

A team. Per-user pricing, plus Bridge installed and running on every desktop, plus no mobile IMAP at all. Then the daily friction: no shared mailbox with real membership for support@, and search that runs on the client rather than the server because the server genuinely can't read your mail. Flat pricing, plain IMAP everywhere and server-side search across every mailbox remove all of it — at the cost of the guarantee.

Mail for several companies. Three custom domains on the entry business tier ends the conversation for most agencies. A Proton Mail alternative here counts domains in the hundreds and adds bulk provisioning, setup invites, DNS applied for you, verification, 13 interface languages including right-to-left, and your own branding.

Encryption you need is worth every constraint listed above. Encryption you don't is just the constraints.
